How to Move Notes Between Phones

Identify the note provider

• Apple Notes in iCloud;
• Google Keep;
• Microsoft OneNote;
• Samsung Notes;
• work or school account;
• local device-only notes.

Use synchronisation where possible

Sign in to the same official app or account on the new phone and let it synchronise. This normally preserves more structure than copying text manually.

Handle local or platform-specific notes

1. Export a small sample first.
2. Check attachments, scans, drawings, locked notes and folders.
3. Choose PDF only for read-only preservation; use text or the app’s native format when future editing matters.
4. Store the export in a second location.
5. Open it on the new phone before deleting the source.

Security checks

Locked notes may depend on a separate password, device passcode or biometric setting. Do not reveal sensitive notes through email or an unencrypted shared folder merely to simplify transfer.

Identify where the notes are actually stored

Notes may belong to iCloud, Google, Microsoft, an email account, a manufacturer service or only the device. The transfer method depends on that owner, not on the appearance of the notes app.

• Check the account or folder shown for several important notes.
• Move or export notes that are under an account unavailable on the new platform.
• Preserve attachments, scans, formatting and locked-note access where possible.
• Open older and recent notes on the destination before deleting the source.

Avoid copying hundreds of notes blindly into one new service. Test a small representative set first so broken attachments, duplicate dates or lost formatting are discovered early.
